Distributor & store-contact portals
How to sign in, see what tastings are coming up at your stores, leave a note, or ask for a sampling.
You each have a light web page you reach by signing in at /portal with a one-time code emailed to you — no password to remember. If you serve more than one brand, use the brand switcher at the top to move between them. Below are the two parts: one for distributors, one for store contacts.

# Part 1 — For distributors
See the tastings booked at the stores you service, and set how your summary email works.
See what's coming up
- Sign in at
/portal. Your list shows upcoming tastings at the stores you service. - Each card shows the store, address, date and time, and products. A tasting that's confirmed shows a Booked pill; one running right now shows Happening now.
- Use the search box ("Search store, city, state, product, or date") to narrow the list.
- The three tiles up top tell you the totals: Upcoming (tastings in your window), Linked Stores (stores you service), and Window (how far ahead you're looking).
You see confirmed tastings only. There are no ambassador names, pay, or notes here.
Tune your summary email
Under Summary preferences you control the emailed round-up.
- Open the Summary frequency menu and pick Weekly, Every two weeks, or Monthly. To stop the emails, choose Off - don't email me a summary.
- In Look-ahead (days), type how many days ahead the summary should look. Leave it blank to use the brand's default (the grey placeholder shows what that default is).
- Click Save preferences. You'll see "Saved ✓".
- Leaving Look-ahead (days) blank isn't skipping it — blank means "use the brand's default," which is a fine choice.
- Your list, the Window tile, and your summary email always cover the same span of days.
- If you turn the summary off, the Window tile reads Summary off — that's expected.
- An empty list just means nothing is booked in your window yet. Widening your look-ahead below the list will show more.
- No settings to change?
- If the page says your summary settings are managed by your organization contact, that person controls them — reach out to them.
- A day count won't save?
- The look-ahead must be a whole number within the allowed range (shown in the help text). Fix the number and save again.
- List won't load?
- Refresh the page. If it still shows an error, wait a moment and try again.

# Part 2 — For store contacts
See samplings coming to your store, leave a note for the ambassador, and ask for a sampling.
See what's coming up
- Sign in at
/portal. Under Upcoming samplings you'll see what's scheduled at your store. - Each card shows the date and time, the products, and who's coming — "With {name}" (first name), or "Ambassador TBD" if not yet claimed. A confirmed visit shows Booked; one happening right now shows Happening now.
- The tiles up top show Upcoming (samplings at your store) and Stores (stores you manage).
Leave a note for the ambassador
On any upcoming sampling card, you can pass along a tip for that specific visit.
- Find Note for the ambassador on the card.
- Type your note in the box — for example, "check in at customer service first, use the east entrance."
- Click Save note. You'll see "Saved ✓".
The ambassador will see your note for that visit.
Request a sampling
If it's been a while, you can ask the brand to come by. This is a request the brand's team follows up on — it is not a confirmed booking.
- Find the "It's been a while?" card and click Request a sampling.
- If you manage more than one store, pick the Store.
- In Preferred window, say roughly when — for example, "July, or a specific week."
- Optionally add Product interest and a Note.
- Click Send request. You'll see "Sent — {brand}'s team will follow up."
- Request a sampling is a triage ask, not a booking. The brand's team follows up to schedule it.
- Once you've sent a request, the card shows Sampling request pending so you don't send a duplicate. The brand will keep you posted there.
- Under Recent approvals you can see the history of decisions on your store's tastings, read-only.
- An empty upcoming list is normal — the page updates as tastings are booked.
- Note won't save?
- You'll see a short message like "Could not save the note." Try again in a moment.
- Request won't send?
- You'll see "Could not send your request." Wait a moment and resend.
- Whole page won't load?
- Refresh. If it still shows an error, try again shortly.
