Set up your Program (products)

How to build and maintain your product catalog — the SKUs your ambassadors sample — from the Program tab under Brand Settings.

Before you start: Program lives under Brand Settings → Program. The header reads "Program" with the subtitle "Manage products, tasting assignment flags, sampling levels, and event product assignments." Everything you set here decides what shows up in the Schedule Builder and on tasting reports.

Add a product

  1. Open Brand Settings → Program.
  2. Click "Add product" (top-right header button, or the dashed add tile at the end of the grid).
  3. In the product editor that opens (titled "New product"), type a Product name. This is required.
  4. Enter a SKU. The placeholder reminds you it's "Used as the ERP / external item ID" — this one field is your product code and your Accounting item ID (there is no separate ERP field).
  5. Set Default order qty (1–999; defaults to 1). This is the default quantity used for kit and material orders.
  6. Choose a StatusActive, Inactive, Seasonal, or Discontinued.
  7. Choose a TypeDrink product, Promotional material, Swag, or Other.
  8. Set the three usage checks in the "What is this product for?" card (see next section).
  9. Optionally open "Advanced & reporting" to add Category, Flavor, Sample instructions, Order instructions, and Report questions.
  10. Click "Save product". You'll see the toast "Product saved.", the editor closes, and the new card appears in the grid.

Set what a product is for

The "What is this product for?" card holds three check-pills. Its sub-note reads: "Whether this product can be put on a sampling, ordered by ambassadors, and whether a report photo is required. Promotional / swag items can't be assigned to tastings."

  1. Assignable to tastings — leave checked if the product can be put on a scheduled sampling and should appear in the Schedule Builder's assignable picker.
  2. Ambassador orderable — leave checked if ambassadors can order it (materials / onboarding kit).
  3. Require report photo — leave checked to force a shelf or display photo when an ambassador submits a report that includes this product.

The product card's footer summarizes these two flags at a glance: "Sampling + orderable", "Sampling only", "Order only", or "Not on tastings".

Type controls "Assignable." If you set Type to Promotional material or Swag, Assignable to tastings is forced off, disabled, and grayed, with the note: "Promotional & swag items can't be put on tastings, so 'assignable' stays off." That's expected — it's a product-type rule, not a locked/paid feature, so there's no lock icon.

Add per-product report questions and a photo requirement

Open "Advanced & reporting" in the editor.

  1. In Report questions (comma-separated), type each question separated by commas. Each one becomes a required answer on the tasting report for any event that uses this product.
  2. Check Require report photo if events using this product must include at least one shelf or display photo.
  3. Click "Save product".

These apply live: because reports read the product's current settings at submit time, editing a product's questions or photo flag immediately changes the report form for events already using it.

Edit, clear, or retire a product

  • Edit: Click any product card in the grid. The editor opens pre-filled; the header shows the product name and its "SKU … · {Type}".
  • Discard changes: Click "‹ All products" or "Cancel" to return to the overview without saving.
  • Clear the form: Click "Clear" to blank the fields back to defaults. This does not delete the product.
  • Retire a product: There is no delete button. Set Status to Inactive (or Discontinued / Seasonal) — inactive products drop out of the Schedule Builder and tasting reports.

How products flow into tastings and reports

  • Only products with Assignable to tastings on can be attached to a scheduled sampling. When you assign products to an event, each gets a role — primary, secondary, or optional (the first one defaults to primary).
  • Only products with Ambassador orderable on appear in the onboarding kit and material-order pickers.
  • On report submit, each assigned product's Report questions must be answered, and if any assigned product requires a photo, the ambassador must add at least one shelf or display photo.

Who can do this

  • Admin / Owner — full access. In practice, this is the only role that reaches Program: the entire Brand Settings sidebar group is Admin/Owner-only, so managers and viewers never see the tab.
  • Regional / Territory Managers — do not see the Program tab in the sidebar, so they can't manage products here.
  • Viewer — no access to this screen.
  • Note: the adjacent Sampling levels section (rates and durations) is even tighter — saving a level requires Owner/Admin only.
☀ Good to know
  • SKU does double duty. The single SKU field is copied to both your product code and your Accounting (Acumatica) Inventory ID. There's no separate ERP box.
  • Same-name products merge. On save, a product with a name matching an existing one (ignoring case and spacing) updates that original instead of creating a duplicate.
  • Promo and Swag can never go on tastings. The Assignable to tastings toggle is force-disabled for those types in the form and re-enforced on the server, so don't expect to override it.
  • Report questions and "Require report photo" need the right tier. These fields render and look editable on every tier, but on the base Wax Up plan they silently don't save — report questions are discarded and the photo requirement is forced off. They only stick on Paddle Out and above (the "Product report questions & photos" feature). There's no lock shown on these specific inputs, so double-check they persisted after saving.
  • Blank-form defaults: new products start with Status = Active, Type = Drink product, Default order qty = 1, and all three usage checks — Assignable to tastings, Ambassador orderable, Require report photo — checked.
  • Onboarding-kit fulfillment needs a SKU. A product with no SKU / Inventory ID shows the warning "needs an accounting-system Inventory ID/SKU to ship" and can't be sent in the kit.
⚑ If something’s not working
"Product name is required."
The Product name field is empty. Enter a name and save again.
"Default material quantity must be between 1 and 999."
Fix the Default order qty to a whole number in that range.
"Unknown product status" / "Unknown product type"
The submitted value isn't valid; reselect from the Status or Type dropdown and save.
"Assignable to tastings" is grayed out and won't check.
The product's Type is Promotional material or Swag. Those can't go on tastings by design; change the Type if it really should be sampleable.
My report questions or photo requirement didn't save.
Your tenant is likely on the Wax Up tier, where those fields are discarded silently. Upgrade to Paddle Out or above to make them persist.
A product isn't showing up in the Schedule Builder or on reports.
Check its Status; anything not Active drops out. Also confirm Assignable to tastings is on.
A product won't ship in the onboarding kit.
It's missing a SKU / Inventory ID; add one so it can be fulfilled.
Saving the onboarding kit shows "Still loading this brand's products and kit — try again in a moment."
The products and kit hadn't finished loading; wait a moment and click "Save kit" again. This guard prevents wiping the kit with an empty save.
