Filling out your tasting report

This guide walks you through writing up a tasting, from your first saved draft all the way to submitting it (and resubmitting if the brand asks for changes).

Submit turns on after you check out
One scrolling form: General, Feedback, and one card per product. Fields marked * are required to submit.
Before you start: You can start a draft and Save draft any time from check-in onward — but you can only submit the report after you've checked out of the tasting. If the submit button looks grayed out, that's why. Check out first, then submit.

Start with the big rule: save early, submit after checkout

You don't have to wait until the end to begin. As soon as you've checked in, you can open the report, type what you know, and save it.

  1. Open the report and start filling it in whenever you like (see below).
  2. Tap Save draft as often as you want — a draft can even be blank, and nothing is checked yet.
  3. When your tasting is over, check out of the event.
  4. Now the Review and Submit Report button turns on. Tap it to send your report.

Until you check out, the submit button stays switched off. That is normal and it is the number-one thing ambassadors get stuck on.

How to open the report

There are a few ways in, and they all open the same form:

  1. From the tasting's screen, tap Start report (if you haven't begun one) or Open report (if you already have a draft).
  2. Or, from the tasting's action button, tap Finish report (while it's still a draft), Submit report (once you've checked out), or Revise Report (if the brand asked for changes).
  3. Or, open the Reports tab and tap the tasting you want.

If the button briefly says Loading..., just wait a moment while it opens.

What the form looks like

It's one long form you scroll through — not a step-by-step wizard. You'll see three parts:

  • A General card
  • A Feedback card
  • An Event Products card, with one card for each product you sampled

Fields marked with a * are required before you can submit. You can leave them blank in a draft, but you'll need to fill them in to send the report.

General

  1. In Checked in with *, type the name of the store person you checked in with.
  2. In Setup location *, type where you set up your table.
  3. Use Setup notes to add anything else about your setup (optional).
  4. For Shelf/display photo *, add at least one photo of the shelf or display (see Adding photos below).

Feedback

  1. In # interactions *, enter how many shoppers you talked with. Use the and + buttons or type the number.
  2. For Store traffic *, choose Low Foot Traffic, Medium Foot Traffic, or High Foot Traffic.
  3. Fill in the optional fields if they help: Competitors, Average gender, Consumer age, Repeat task in future? (Yes / No / Maybe), and Brand familiarity avg.
  4. In Customer feedback *, write what shoppers said.
  5. Use Manager feedback for anything the store manager shared (optional).

Event Products

You'll see one card per product under the Event Products heading. For each product:

  1. Set Able to sample? to Yes or No.
  2. If you choose No, a box appears — Why could this product not be sampled? — and you must fill it in.
  3. If you choose Yes, fill in # samples given * and # purchases made * using the steppers or by typing.
  4. Add any notes in Product feedback (optional).
  5. If the brand added its own question for a product, answer it — those are required too.

Adding photos

  1. Tap the photo field to open your phone's picker.
  2. You'll see the tip: "Choose from your photo library, or take a new photo if your phone offers camera from the picker."
  3. Pick a photo, or take a new one if your phone offers the camera.
  4. To add more, open the picker again and choose more — they add on rather than replace.
  5. To remove one, tap the × on its thumbnail.

You always need at least one shelf/display photo before you can submit.

Saving and submitting

  1. Tap Save draft at any point to back up your work. The status line will show Draft saved.
  2. Once you've checked out, tap Review and Submit Report.
  3. If anything required is missing, the status line turns red and says Missing required answers: and jumps you to the first empty field. Fix it and try again.
  4. On success you'll see Report submitted for internal review. and the form becomes read-only.

There's no separate preview screen — tapping Review and Submit Report sends it, so scroll up and check your answers first.

☀ Good to know
  • You can draft from check-in, but only submit after checkout. The submit button stays off until you check out of the tasting.
  • Setting Able to sample? to No hides the count fields. If your # samples given and # purchases made boxes disappear, switch it back to Yes to bring them back.
  • A draft never gets checked — only submitting checks for missing answers. So a half-finished draft saves fine.
  • Bad store Wi-Fi is handled for you. Your work auto-backs-up to your phone as you type, and a save or submit made offline gets queued on this phone and syncs when you're back online.
  • Keep the app open until a queued report clears. A queued submit hasn't reached the brand yet — it only counts once it syncs, so wait for the "queued" notice to disappear.
  • Reports lock 24 hours after the tasting. After that you can't edit — contact your manager to reopen it.
  • Once submitted, the report is read-only. You can still scroll and review your answers; you'll only be able to edit again if the brand requests changes.
⚑ If something’s not working
The submit button is grayed out
→ You haven't checked out yet. Check out of the tasting, then Review and Submit Report turns on.
It says "Missing required answers"
→ A required field (marked *) is empty. The form jumps to the first one — fill it in and submit again.
Your sample and purchase counts vanished
Able to sample? got set to No. Set it back to Yes to restore them.
You see "Report queued on this phone"
→ Your report saved but hasn't reached the brand yet. Stay online with the app open, or tap Retry report sync, and wait for the notice to clear.
The button says "Report locked — contact your manager"
→ It's been more than 24 hours since the tasting. Ask your manager to reopen it.
A "Changes requested" note appears at the top
→ The brand asked for edits. Make your changes, then tap Resubmit report — just tapping Save revision keeps it in needs-changes and the brand won't see it as resubmitted.
It says "This report is not ready yet. Close and reopen the tasting report."
→ Close the report and open it again from the tasting or the Reports tab.
You see "Complete onboarding and wait for approval before accessing tastings."
→ Your account isn't approved yet. Finish onboarding and wait for approval, then the report will open.
